The Role:

We are looking for a highly organized, detail-oriented, and tech-savvy Executive Assistant (EA) to support our leadership team, working closely with the CEO to ensure smooth day-to-day operations. In this role, you will not only handle key administrative tasks but also leverage modern tools and digital solutions to drive efficiency and enhance workflows. A high level of professionalism and discretion is essential, as you will be managing sensitive information and acting as a key liaison between the CEO, internal teams, and external stakeholders.

Key Responsibilities:

  • Organizational responsibility for the office of a technology-driven investment firm.
  • Managing calendars and emails, planning and coordinating business trips, meetings, and appointments.
  • Handling accounting documents, legal correspondence, and business communication in both German and English.
  • Maintaining digital and physical documentation related to investment activities and associated administrative tasks.
  • Preparing and managing invoices, presentation materials, and working with Excel spreadsheets.
  • Responsible for managing all office vendors, ensuring smooth operations and maintaining strong relationships with service providers.
  • Organizing both internal and external events, ensuring seamless planning, coordination, and execution to create high-quality experiences for guests, team members, and stakeholders.

Required Qualifications

  • A completed commercial apprenticeship or university degree with excellent results.
  • Minimum of 5 years of professional experience in a similar role, ideally in companies in banking, law, consulting, tax advisory, or supporting C-suite of listed companies.
  • Proficient in German and English, both written and spoken.
  • Detail-oriented with a commitment to high-quality work.
  • Proficiency in Outlook and the MS Office suite.
  • Ability to utilize digital tools (e.g., Notion, Slack, Google Suite, etc.) to streamline administrative processes.
  • Trusted to handle sensitive documents, executive decisions, and private correspondence with the utmost discretion.
  • Independent and solution-oriented working style.
  • Strong problem-solving capabilities.
  • Strong communication skills and enthusiasm for teamwork.
  • Excellent organizational skills and an ability to thrive in a fast-paced environment.
